Full Service Wedding Coordination Description

Correspondence: Most of my time is spent communicating with you and your vendors. I’ll make sure all of the details are documented and discussed. Above all, I’ll check, recheck and check again to make sure every detail is captured to ensure this is the best day of you and your fiance’s life thus far.

Venue and vendor selection. I have lived in Charlottesville for 30 years. I have planned events and conferences for up to 6,000 people. I am well connected and I will guide you to amazing vendors OR Ill be happy to work with the vendors you have selected.

Organization: Ill keep all of the plates spinning and not drop one. I am highly organized and wont over promise and under deliver. Ill work within your budget, timelines and dreams. Ill be beside you every step of the way.

Wedding prep: There are lots of seemingly small tasks that go into creating your perfect day both before and on the day-of from creating a wedding-day timeline, assembling invitations, setting up your favor display, assisting with your seating chart, and much more.

Day-of coordination: With great planning, you will only see me behind the scenes. I’ll arrive long before your ceremony begins and stay well afterwards, making sure that everything runs on-time and smoothly from behind-the-scenes and any issues are handled quickly and quietly so that you and your new spouse can enjoy the day, stress-free!

Post-wedding tasks: There will likely be several important tasks to handle after the wedding, from ensuring clean-up and breakdown occur properly to returning rental items and making sure vendors receive their tips.

The Planning Process

  • Conduct initial consultation to learn of wedding plans, hopes and expectations.

  • Gather preliminary information on dates, details, vendors, etc.

  • Describe the planning & coordination process.

  • Provide phone & email communication throughout planning process.

  • Provide advice on how to personalize your wedding and if asked how to stay within your budget.

  • Tour wedding site.

  • Meet with vendors as requested. I would prefer to meet with the Caterer face to face to review reception details.

  • Contact all vendors listed on the contact will be contacted to verify details of their services at the following intervals. For Full Coordination, I’ll be involved from day one. However, if you prefer “Day of Coordination”, I’ll get involved at least 4 weeks prior.

Wedding Timeline Development and Management

  • Provide timeline of events for review and approval to ensure a well organized rehearsal and wedding.

Manage and Lead Rehearsal

  • Arrive on site one hour prior to meet with onsite coordinator and wedding party.

  • Work alongside the Officiant to be sure all aspects are including in the Ceremony.

  • Clarify roles and expectations to love and honor the bride and groom on their wedding day.

  • Organize and manage wedding rehearsal.

  • Develop and distribute Wedding Day Itinerary to be given to guests of the rehearsal.

Managing Your Wedding Day

  • Arrive onsite prior to bride/groom to ensure all details are in process and addressed.

  • Manage wedding vendors per your instructions – I will be available in person or by telephone during the entire wedding day to assist vendors with any problems or questions.

  • Manage wedding party.

  • Manage vendor and décor setup at ceremony and reception.

  • Organize and distribute all person flowers to wedding party, family members & special guests

  • Provide Bridal Emergency Kit – pain reliever, sewing kit, nail polish remover, clean nail polish, etc.

  • Facilitate the wedding ceremony.

  • Oversee ushers & guest book attendants.

  • Make sure that all members of the wedding party are looking great and or in proper places.

  • Check ladies gowns, bra straps and hair.

  • Properly line up processional and cue musicians.

  • Place table names, place cards, favors, toasting glass & serving set per your instructions.

  • Bustle your gown if needed.

  • Coordinate entertainment and all announcements/events during reception.

  • Be prepared to meet any emergency situation that may arise.
